If your emails are bouncing or not reaching your contacts, there are several steps you can take to improve deliverability and reduce the chances of emails being flagged as spam.
The key areas to check are:
- Email Domain Setup
- SPF Record
- Sending Practices to Avoid Filtering
This article will guide you through troubleshooting bounced or undelivered emails.
1. Email Domain Setup
Many email providers use strict spam‑filtering systems. To help ensure your emails are recognised as legitimate, you’ll need to add the required DNS records to your domain.
Please see Add An Email Domain for steps.
2. SPF Record
Your domain can only have one SPF record. If an SPF record already exists, you’ll need to update it rather than create a new one.
Ensure it includes include:sendgrid.net
- This ensures that your CRM emails are authorised to be sent on behalf of your domain.
3. Sending Emails That Won’t Get Filtered
A few additional factors can affect deliverability:
- Large attachments: Emails with attachments over 8MB may be blocked by certain email providers.
- Incorrect email addresses: Double‑check that the contact’s email address is entered correctly in your CRM.
- Content quality: Avoid spam‑triggering words, excessive images, or formatting that may cause filters to flag your message.
