The MRI Vault Data Import migrates your existing MRI Vault (VaultRE) data into your Grow CRM portfolio. The import uses data exported from MRI Vault as a set of CSV files to create the corresponding records within your Grow CRM portfolio. When setting up a new import in Grow CRM, this data source is listed as Vault.
This article provides an overview of the MRI Vault Data Import.

Data That Is Imported
MRI Vault exports its data as a set of separate CSV files. Grow CRM detects each file's type automatically from its column headers, but you can override the detected type (or exclude a file) during the Review step.
Some files exist only to link records together (for example, linking a sale to its property) and don't create records of their own; these are listed under Supporting Files (found at the end of this section).
Contacts
Two MRI Vault contact exports are supported: the full contact export, and the contact export that includes Categories (marketing groups). Both create contacts in Grow CRM.
*Contacts marked as Archived in MRI Vault are not imported.
- First name: Falls back to the company name if no first name is supplied.
- Last name

- User: Matched to a Grow CRM user.
- Created date and last modified date
Inspection attendances also include:
- Attended date: The feedback date, or the note's created date if there is none.

- Created date
Supporting Files
These files don't create records of their own, but they're needed to link records correctly. Include them in the upload.
- Property life history: Links each sale and lease record to its property. Without it, listings and appraisals are created without a property.
- REA unique IDs: Links each sale and lease record to its realestate.com.au listing ID.
- Contact note types: Provides the note type names used to decide how each note is imported.
- Feedback notes: Provides the property, sale/lease, feedback date and price opinion for open home feedback.
- Contact users: Provides each contact's assigned agent.
Data That Is Not Imported
- Trust transactions: The TrustTransactions.csv file is always skipped.
- Property note types: The PropertyNoteTypes.csv file is skipped (Property notes are imported as general notes).
- Notes with other note types: Contact notes with a note type not listed in the table above (for example, custom note types created by your agency) are not imported.
- Archived contacts, and archived owner and landlord links
- Inactive buyer and renter requirements
- Sale and lease records with a status of "Prospect/Not Currently Listed"
- Tenancies: Tenancy details, tenant names and contact details, and tenancy rent are not imported.
- Property management details: Management fees, expenditure limits and property manager are not imported.
- Rent prices on renter requirements: Only sale requirements keep their price range.
- Residential addresses: These don't fill the contact's mailing address (they can be mapped to a custom field).
- Images, documents and attachments
- Sent emails and SMS history: Email-type notes are imported as plain notes only.
- Note reminders: Reminder dates and reminder users on notes are not imported.
- Additional listing agents: Only Publish Agent 1 and 2 are imported.
Duplicate Handling Process
If an import is re-run or a file is re-uploaded, the importer avoids creating duplicates. The behaviour when a matching record is found depends on the record type:
- Contacts: Matched by their MRI Vault contact ID only. Contacts are not matched by email, mobile or name, so a contact that already exists in Grow CRM (for example, one entered manually) will be created again as a separate contact.
-
Properties: Matched by address (unit, street number, street name, suburb and postcode).
- If a matching property already exists in Grow CRM, the existing property is kept as is. Its details are not overwritten with the MRI Vault data.
- If two MRI Vault properties share the same address, they're merged into a single Grow CRM property, and the sales and leases from both are linked to it.
-
Listings and appraisals: First matched by REA unique ID against all listings in your Grow CRM portfolio, including listings that weren't created by an import.
- If a match is found, only fields that are empty on the existing listing are filled in. Existing values are kept.
- If there's no REA match, matched by MRI Vault's sale or lease record ID.
- Contact relationships: Skipped if the two contacts are already related in either direction.
- Contact groups: Matched by group name (not case-sensitive), or by the group selected in the field mapping.
- All other records (notes, calls, enquiries, inspection attendances, tasks, property preferences, contracts, vendors, landlords and purchasers): Matched by their MRI Vault record ID and updated rather than duplicated.
Apart from the listing and property exceptions above, fields that are blank in the import file will not overwrite existing data in Grow CRM. Only fields with a value in the CSV will be written to the existing record.
Other Processing Notes
- Open home inspections: Open home feedback creates an inspection on the listing at the time of the feedback (feedback recorded within 30 minutes of each other on the same listing is grouped into one inspection).
- Calls are visible on the owner portal: Calls imported from Phone Call and Telemarketing notes are set to show on the owner portal.
- Purchaser names: The contract's purchaser legal name is filled from the imported purchaser contacts.
- Dates: Original created and modified dates from MRI Vault are kept, so imported records sort and report against their real history.
- Errors on individual rows: A row that fails (for example, a note whose contact can't be found) is marked with an error and the rest of the import continues.
Before Running The Import
Before data is processed, an operator must configure field mappings. Field mappings map MRI Vault's values to the corresponding Grow CRM values.
For example:
| MRI Vault Data | Mapped To Grow CRM Fields |
| Property types and categories | Property types and categories |
| Sale and lease statuses | Listing statuses |
| Methods of sale | Authority types |
| Rent frequencies | Rent periods |
| Users and agents | Users and team members |
| Contact categories | Existing contact groups, or created as new groups |
| Relationship names | Relationship types |
| Land area units | Units |
Some fields can also be configured as custom field mappings, allowing MRI Vault data that doesn't have a direct equivalent in Grow CRM to be stored against a custom field.
-
Upload all of the MRI Vault CSV files together.
- Grow CRM processes them in a fixed order (contacts, then properties, then sales and leases, then groups, relationships, tasks, vendors, landlords, requirements and notes) so that records already exist when they're linked to each other.
- Grow CRM processes them in a fixed order (contacts, then properties, then sales and leases, then groups, relationships, tasks, vendors, landlords, requirements and notes) so that records already exist when they're linked to each other.
-
Each file must be a CSV (or a ZIP containing CSVs), up to 200MB.
-
The Purchasers file must be named Purchasers.csv.
- It has the same columns as the Owners file, so Grow CRM uses the file name to tell them apart.
- It has the same columns as the Owners file, so Grow CRM uses the file name to tell them apart.
-
A file's type is only auto-detected if its column headers include every column Grow CRM expects for that file.
- If Grow CRM can't identify a file, it's flagged as "Do Not Import" and you'll need to select the correct type manually on the Review step before continuing.
